Position Description  

The Hemostasis & Thrombosis Research Society (HTRS) is seeking a highly organized, detail-oriented, and self-motivated individual to assist the HTRS administrative team with the day-to-day operation of our nonprofit professional society. This is a part-time, contracted position for an individual who owns a limited liability company (“LLC”) or operates as a sole proprietor.

Our preferred candidate is eager to learn, able to quickly prioritize deadlines, and enjoys working in a fast-paced environment with multiple team members. This is an excellent opportunity to gain experience in nonprofit management while contributing to the success of the HTRS mission.

Responsibilities 

  1. Assist the HTRS administrative team with program execution, membership management, and meeting logistics, including:
  • Preparing agendas, meeting minutes, reports, correspondence, promotional communications, presentations, and other business documents
  • Responding daily to incoming calls on Google Voice
  • Monitoring multiple email inboxes daily; triaging and forwarding email to other team members
  • Scheduling and coordinating virtual meetings via Microsoft Teams, Zoom, or other virtual meeting systems
  • Filing or archiving documents and other digital assets
  • Assisting with updating and managing membership records and other association data in Glue Up, the HTRS association management system
  • Scheduling communications to HTRS members via email and social media
  1. Maintain a regular weekly schedule during standard business hours (Monday-Friday, 8:00 AM-5:00 PM).
  2. Participate in regular weekly team meetings.
  3. Attend and take minutes for other leadership or planning committee meetings as requested.
  4. Interact with HTRS members, the Board of Directors, planning committees, and other stakeholders in a professional and efficient manner. 
  5. Handle confidential information according to established privacy and confidentiality policies.
  6. Assist the HTRS administrative team with other duties as approved and assigned by the Executive Director.

Qualifications  

  • Bachelor’s degree or equivalent combination of education and experience
  • At least 2 years of experience in an administrative role in a professional environment; previous association or nonprofit experience is a plus
  • Excellent written and verbal communication skills
  • Highly organized, detail-oriented, and self-motivated
  • Exceptional time management skills
  • Able to prioritize work effectively and adjust priorities as directed
  • Comfortable working independently as a remote team member; previous remote work experience is a plus
  • Experience using digital tools necessary for effective remote work, especially Microsoft 365 (Teams, Outlook, Word, Excel, PowerPoint and OneDrive) and Zoom
  • Experience using graphic design programs such as Canva, association management/CRM software, and social media scheduling tools is a plus
  • Experience handling confidential information with discretion

Additional Requirements

  • This is a part-time, contracted position for an individual who owns a limited liability company (“LLC”) or operates as a sole proprietor
  • The contracted individual agrees to bear full responsibility for the withholding, collection, and payment of appropriate federal and state income taxes, employment insurance premiums, and personal retirement plan contributions
  • The contracted individual will be required to carry necessary business insurance
  • The contracted individual must provide their own dependable, high-speed internet connection and equipment necessary to participate in Zoom and Teams meetings

Our members are physicians, researchers, nurses, nurse practitioners, pharmacists, medical laboratory scientists, representatives from industry, and other allied healthcare professionals involved in caring for pediatric and adult patients with bleeding and/or thrombotic disorders.
